All Exhibitor Staff must be U.S. Citizens and provide a DD2345. These are mandatory requirements - there are NO exceptions.

Important Note: Exhibit Staff will not have access to the General Session or Technical Sessions. To attend any sessions outside of the Exhibit areas, you must register and pay for an Attendee Badge. All displays must contain open and non-proprietary information.

**Exhibit hall is NOT carpeted. Carpet may be ordered through the exhibitor service kit.
**Electric is not included but may be ordered through the exhibitor service kit.
**Free public Wi-Fi with advertisements is available.

Cancellations

If an Exhibitor must cancel their booth space or a portion of their booth space upon acceptance of the application, booth fees are non-refundable. All cancellations must be submitted in writing to the Exhibit Manager.

In the event TETS/ARCTOS must cancel the Symposium due to unforeseen circumstances, TETS/ARCTOS will refund in full the paid exhibit booth fees. However, TETS/ARCTOS does not assume responsibility for any additional costs, charges, or expenses; to include, charges made for travel or lodging. If the Symposium is postponed, paid Exhibitors will be given the option to transfer their payment to the rescheduled dates or receive a full refund upon TETS/ARCTOS’s receipt of the Company’s Booth cancellation, in writing, and within 4 weeks of the announcement of the rescheduled Conference dates.

(Unforeseen circumstances is used to describe an event that is unexpected and prevents TETS/ARCTOS from continuing with the Symposium).

Arctos, on behalf of TETS, reserves the right to rearrange the final floor plan based on unsold or unoccupied exhibit space.

Beyond the Booth

Back by popular demand! Make the most of your investment with this exciting opportunity to showcase your organization and all it has to offer in our largest ever Exhibit Hall. Beyond the Booth is a room (equipped with staging and A/V equipment) prominently located in the center of the tradeshow area along the rear wall.

A limited number of presentation times are available (breaks, lunches, and receptions for peak traffic) and will be on a first-come, first-served basis. An invitation to sign up will be emailed to all Exhibitor POCs a few months prior to the Symposium. All presentations must be Distribution A and approved for public release.

TETS Exhibitor Badges

Exhibiting organizations and their representatives are required to wear ID badges throughout the Exhibit Hall. ID badges are not transferable, and TETS reserves the right to withdraw a badge used to gain admission to the Exhibition / Conference by any person other than the one for whom it was issued.

THIRD PARTY WARNING

PLEASE NOTE: If you are contacted by a third party booking agent, these agencies have NOT been contracted by Arctos Technology Solutions to represent the TETS Symposium or the Dayton Vitality Hotel. Therefore, if you book with a third party you do so at your own risk; and there is no guarantee that a hotel room will be reserved for you. If you choose to use this method of booking you are agreeing to the booking agency's Terms and Conditions and Cancellation Policy, not those of the Dayton Vitality Hotel, and you will be subject to the booking agent's terms.

Rules & Regulations for TETS Exhibitors

As an Exhibitor in the show, we hereby agree to conduct business in a professional manner, to observe the exhibit show hours, and to the following rules and regulations:

  1. Exhibitor assumes entire responsibility and hereby agrees to protect and indemnify TETS 2026, ARCTOS, Show Management and its subcontractors, show hosts, sponsors and cosponsors, and the Hotel Symposium Hotel(s) and Dayton Convention Center harmless from any claims, losses, expenses, (including attorneys’ fees) and liability arising in connection with the TETS meeting being held at the Hotel Symposium Hotel(s) and Dayton Convention Center, September 14-17, 2026. Exhibitor agrees to make no claims whatsoever for loss, theft, damage, destruction of goods; nor for any injury to himself or employees while in the exhibit hall; nor for any damage of any nature, including damage to his business, nor for any loss resulting from labor disputes, acts of God or nature, or any actions of any nature of TETS 2026 and Show Management.

  2. Upon acceptance of the booth application please understand booth fees are non-refundable.

  3. Exhibitor to notify Show Management in writing if it needs to change its booth size, change its company listing and/or contact information, as well as if it needs to cancel out of the show. Please note: In the event of total or partial cancellation (space size reduction) by Exhibitor, the booth fee will not be reduced or refunded.

  4. Exhibitor must designate a Point of Contact for the show. Information regarding the show will be disseminated to the Point of Contact electronically. The Show Management will provide the Exhibitor an Exhibitor Login User ID and Password to use to register staff members, upload logos, etc. This Login will allow an Exhibitor to obtain information not listed on the Exhibiting page of the website.

  1. Exhibitor acknowledges that TETS 2026, ARCTOS , Show Management and its subcontractors, the Hotel Symposium Hotel(s) and Dayton Convention Center do not maintain insurance covering the Exhibitor’s property. The Exhibitor is advised to carry floater insurance to cover their exhibit material against damage and loss and public liability insurance to cover against injury to the Exhibitor, its staff, and to injury to others. All property of Exhibitor is understood to remain under its custody and control in transit to and from and within the confines of the exhibit area.
  2. No exhibit shall be permitted to interfere with a neighboring exhibit. In-line booth walls or equipment displayed must not exceed eight (8) feet in height. Any exceptions or modifications to the height restrictions must be approved by Show Management.
  3. All exhibits must be set up by 6:00 PM on Sunday, September 13, 2026. If for some reason booth materials have not yet arrived and the Exhibitor must set up on the following day, set-up must be coordinated with Service Decorator and Show Management to ensure booths are setup during the slower traffic times.
  4. No explosives, fuel, combustibles, hazardous materials, decorative materials neither fireproofed nor flameproofed, or any other materials or substances deemed hazardous under applicable fire regulations may be brought into the Exhibit Hall.
  5. Exhibitor must observe all union regulations in force in the Exhibit Hall and use qualified personnel for services.

Exhibitor move-in will be on Sunday, September 13 from 1:00 PM - 6:00 PM.

Unfortunately, there are no Attendee registrations that come with the booth. If you want a staff member to be able to attend any sessions, they will need to sign up under the Attendee registration link.

You can have 2 staff badges per each 10' x 10' booth occupied. This number does not include any staff members who are also signed up as an Attendee.

Any additional exhibitor staff badges will be charged $300 each.

The deadline to register exhibit staff members is one week before the start of the conference.

If you need to cancel a staff member registration or update info to one that has already been submitted, you can email us so changes will be made and the list will be updated.

It can take up to 5 business days for staff members to be processed once they are submitted. If you still don’t see the name(s) after 5 days, please contact the .

This may be because the names you have submitted as staff members have not yet been processed. Wait until these names show up under your login, and then you will be able to select a POC.

Anything you may need for your booth is coordinated by Tradeshow Services. All order forms are located in the exhibitor service kit that is posted under the exhibitor link, as well as under the exhibitor login.

Tradeshow Services will coordinate all shipping for this show. This information is listed in your exhibitor service kit. If you have further questions, you can call Tradeshow Services at the info listed in the kit.

Free public wi-fi with advertising is available. Regular wi-fi and/or wired connections are available for purchase through the service kit.
